Refunds and Cancellations

The moment you enter our race we start to incur administration costs and banking charges, simply in processing your entry and payment. We also incur further charges in administering cancellations and processing refund payments.

No refund can be given if the race has to be cancelled or postponed due to circumstances outside our control, for instance due to a bomb scare. Your entry fee is invested in the cost of staging the event, and the main costs to contractors, suppliers, administration etc are already committed well before race day.

Furthermore most races do not offer any form of refund at all if a runner decides to cancel their place because of injury, illness, lack of training or change of plan. There are many other instances of higher priced services, such as plane, train or theatre tickets where no refunds can be given for cancellation in these circumstances.

However, in fairness to runners who cannot compete for whatever reason, we can now offer a a credit of £10 [50% of the lowest entry fee] towards the cost of a guaranteed entry in the following year's Sussex Beacon Half Marathon. This will only apply to applicants who cancel their entry before the date we start to process our race pack mail out - on 15th December 2009 - 2 months before race day.

After 15th December 2009 we will guarantee you a place in the 2011 race (you still have to pay the new on-line entry fee) if you return your race number to us before race day.

Each year we receive quite a few requests to transfer places from one runner to another. But like plane tickets, each entry is personally registered to a specific named individual. Reallocating race numbers and amending data held on the computer system at larger races such as the SBHM would require considerable time and administration, and we would have to significantly increase the cost of all entries to cover cost of the additional staff required. That is why we feel it is fairer to all entrants to offer guaranteed 'deferred' places to runners who cancel their entries.

Running in someone else's race number can have very serious consequences if the runner suffers a medical emergency - we have had cases where we have been unable to identify or contact families of runners who have suffered potentially life-threatening conditions whilst using someone else's race number. The accuracy of the race results is also affected when runners are placed in the wrong age and sex category.

We reserve the right to refuse or cancel applications, including duplicate applications, or alter the date of the event, the course route or distance.

Deferred Entries

We do not offer full refunds but do offer a partial credit towards the 2011 Sussex Beacon Half Marathon before 15th December 2009 and deferred entries at standard price for those that need to cancel after.

Runners who notify the Sussex Beacon Half Marathon office and return their race number before race day will be offered a guaranteed entry for next year's race - at the new price (note this does not apply to golden bond runners failing to meet their agreed fundraising target)

Confirmation of credits or guaranteed 'deferred' places will normally be issued within 14 days of receipt of request, although there may be instances of delay in busy times close to race day. Runners wishing to defer their entry will be separately notified of the entries procedure in advance of entries release for the following year's Sussex Beacon Half Marathon. Notification will be sent by email or post to the last address registered on our records. Applicants are required to notify us of any address change.

Transfers

Each entry to the Sussex Beacon Half Marathon are personal to the applicant. If for some reason you are unable to compete a transfer of number can be made if the required transfer form has been filled out. For a copy of this form e-mail us by clicking here.

Duplicate entries

Duplicate entries made in genuine error will be refunded in full.

We reserve the right to cancel all entries and donate all entry fees to one of the race charities where we have reason to believe that duplicate entries have been deliberately made by an applicant with the intention of subsequent re-sale - i.e. 'ticket touting'.

Where duplicate entries are made for different categories of entry we reserve the right to decide which category of entry will apply and which will be cancelled. For instance where an applicant has applied for both a general public place and a reserved fundraising place (e.g. official race charity or corporate challenge) we will normally decide to cancel the general public place in favour of the fundraising place.

Notification of cancellation

Notification of cancellation must be sent either by:

post to: Sussex Beacon Half Marathon, c/o Sport Systems, Regency House, 61 Walton Street, Walton on the Hill, TADWORTH KT20 7RZ

or email us by clicking here

We are sorry but we cannot accept notification of cancellation by phone - it must be in writing.
